The Senior Associate Administrative Assistant is responsible for providing comprehensive administrative support and office management for the US Poultry and Companion Animals teams, including the respective Executive Director, Director, and their R&D personnel. The desired candidate must be a competent multi tasker with excellent time management skills and an upbeat attitude.  The successful candidate must be resourceful, organized and a good problem solver. Candidates are expected to be detail oriented, comfortable working in a fast-paced environment and maintain a steady pace for completion of workload in a timely manner. Candidates must be computer competent, possess excellent verbal and written communication skills and have a genuine desire to meet the needs of others.

Qualifications

Education Minimum Requirement:
• Required: High School Diploma or equivalent
• Preferred: Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)

 

Required Experience and Skills**:
Minimum of (8) years Administrative Assistant experience
• Minimum of (3) years Executive Administrative experience supporting multiple senior executives (Director, Executive Director, VP or above)
• Advanced computer skills using MS Office Suite (Outlook, Word, Excel, Power Point etc.) and their application to preparation of documents, data summaries and presentations at local/site wide events
• SAP experience processing: Purchase Orders, Payment Requests, Vendor Add Forms, as well as the capability to run reports within SAP
• Experience scheduling complex travel arrangements including multi-leg domestic and international travel (Concur) and preparation of expense reports for department wide employee
• Manage databases related to study agreements, licensing agreements and contracts with Contract Research Organizations.

 

Preferred Experience and Skills:
Experience with preparation of budget updates and tracking of external and capital spend
• Work with Environment Health and Safety team and monitor progress on execution of facilities work orders
• Must work well in a team-based and collaborative environment
• Advanced administrative/clerical abilities with a history of high performance
• Proficient with event planning and coordination
• Extraordinary attention to detail
• Outstanding written and verbal communication and people skills
• Ability to handle and prioritize many simultaneous assignments
• Ability to be trusted with highly confidential information
