The Process and Systems Steward will report to the Process & Systems Director and be accountable for the end-to-end stewardship of key Medical Affairs (MA) processes that promote operational efficiencies and achievement of MA priorities and objectives.  This will include partnering with business stakeholders, process owners, other Global Medical Affairs Capabilities (GMAC) functions, our organization's IT and external vendors/partners to enable effective and innovative business processes that are supported by quality systems.  

The Process and Systems Steward will be accountable for overall global process and system oversight, ensuring that processes,  metadata and systems are consistently defined and deployed across all colleagues in medical affairs for all Therapeutic Areas.   This will include tight collaboration with or direct management of Process and Systems Coordinators to accomplish the end-to-end objectives. 

The individual will bring experience in partnering with Business Functions to collaborate with global stakeholders to create, implement, document, communicate, track and improve critical MA processes and systems, working in the fast-paced and dynamic environment of Medical Affairs Operations.

This position focuses on processes and systems that cover the following capabilities: 

  • Global Intake of Medical, Safety and Quality Inquiries receiving via our Designated Point of Contact channel
  • Patient Access Programs
  • Serve as Process & System Steward for multiple processes and systems leveraged by GMA as assigned
  • Successfully partner within Medical Affairs and across business functions and therapy areas to make effective business process decisions
  • Collaborate and lead workshops with global stakeholders to effectively design business processes and translate them into high-level systems objectives
  • Be a key partner in the evaluation and selection of systems technology, partnering with the MA Information Technology
  • Foster effective cross-functional collaboration, with the ability to learn on the fly while understanding and solving new problems
  • Maintain up-to-date process and system documentation that is easily consumable per team standards  
  • Participate in cross-divisional governance meetings (as needed) to ensure alignment across system users for configuration changes and release management
  • Play a key role in process and systems governance to inform MA priorities and maintain the Road Map of initiatives to inform process and system related activities and timing
  • Partner with other MA Operations teams to drive global process improvement projects and develop implementation plans for global rollout of process and systems
  • Ensure appropriate creation and updating of training and maintenance reference guides and/or training documents on both the process and the applicable system
  • Adhere to the compliance and regulatory procedures, working closely with Global Compliance and Legal
  • Responds and complies with any program investigations, audits, or assessments working closely with GMA Standards Director on the control plan and any audits of the process
  • Ensure efforts and priorities align to overall GMA Strategic Initiatives while focusing on efficient, effective process execution
  • Monitors and evaluates process changes to ensure benefits/objectives are being met and are measurable




Education Minimum Requirement:  

  • Bachelor Degree and a minimum of 5 years of relevant experience in life sciences and process and systems related coordination 

Required Experience and Skills:  

  • Experience in partnering with Business stakeholders across geographies, therapy areas, and functions to inform global process design and execution
  • Expertise to lead process and systems workshops, interviews and other methodologies to inform effective and efficient, new and updated processes and systems
  • Attention to detail, excellent communication skills and the ability to work independently, escalating risks and issues as appropriate
  • Demonstrated success in a fast-paced environment, with the ability to learn on the fly while understanding and solving new problems, requiring a high level of independent judgement and initiative
  • Excellent verbal and written communication to technical and non-technical audiences of various levels within the organization
  • Strong analytical, decision-making, problem-solving, interpersonal, and time management skills
  • Expert level usage of tools such as MS PowerPoint, MS Excel, MS Word and Visio
